When a custom CRM makes sense
A packaged CRM is usually the first option to evaluate when standard pipelines, email activity and contact management cover the requirement. Custom development becomes useful when approvals, pricing rules, account hierarchies or operational handoffs repeatedly force staff into spreadsheets. Document those exceptions with real examples. A custom interface alone does not justify rebuilding dependable commodity features.
From incoming lead to account handoff
Map each entry point: website enquiry, approved WhatsApp integration, referral or manual entry. Decide how leads are deduplicated, assigned and accepted. Define the evidence needed to move a deal between stages, when a stalled deal needs attention, and what an operations team receives after a sale. Managers need queue health and conversion definitions; representatives need a focused next-action view.
Data migration and integrations
Inventory contacts, companies, deals, notes and attachments separately. Establish which system owns each field before connecting email, billing or messaging providers. Import a small sample, reconcile counts and preserve source identifiers before a full cutover. WhatsApp messaging requires an eligible business account, approved provider configuration and the relevant messaging permissions. Existing contact details do not automatically authorize marketing messages.
Permissions, automation and acceptance
Specify who can export customer records, change deal value or reassign an account. Test those permissions at the API and database layers. Automations need visible ownership, retry limits and a manual recovery route. Acceptance should include duplicate imports, disabled users, failed message delivery and restoring a backup. Reports must use agreed definitions rather than attractive but ambiguous totals.
